1. Acceptance of Terms
By submitting an online application, paying the registration fee, signing a residency agreement, or occupying a room at Orchid Residency, you agree to be bound by these Terms and Conditions, all PG house rules, applicable legal regulations, and local municipal guidelines.
2. Admission & Identification
Orchid Residency is an exclusive women's PG and coliving space designated for female students and working professionals.
- Government ID Mandatory: Valid government-issued photo ID proof (Aadhaar Card, Passport, Voter ID, or Driving License) must be submitted at the time of admission.
- Resident & Emergency Contact Records: Complete resident profile details, emergency contact numbers, and parent/guardian contact information must be maintained with hostel management.
- Occupancy Approval: Bed allotment and room sharing are strictly subject to management approval. Subletting, unauthorized sharing, or transfer of bed space is strictly prohibited.
3. Safety & Security
- Entry & Exit Register: Complete entry and exit records must be maintained in the security register or biometric log at all times.
- CCTV Surveillance: 24/7 CCTV cameras are installed at entry and exit points, main gates, corridors, and common areas for resident safety.
- Visitor Restrictions: Unauthorized visitors are strictly not allowed inside resident rooms or private living floors under any circumstances.
- Warden & Security Guard: Female security personnel and round-the-clock wardens are available on premises for resident protection and assistance.
4. Curfew & Entry Timings
PG management fixes standard entry and exit timings for general safety and discipline.
- Late Entry Intimation: Residents requiring late entry due to work shifts, academic duties, or emergencies must inform the warden/manager in advance.
- Overnight Stay Reporting: Any planned overnight stay outside the hostel must be formally reported to the warden and recorded in the leave register.
- 24/7 Shift Biometrics: Registered residents with verified night shift schedules are provided 24/7 biometric access upon prior approval.
5. Conduct & Discipline
- Decent Behavior: Residents must maintain decent, respectful behavior and avoid causing any disturbance or noise nuisance to fellow residents. Quiet hours are observed between 10:00 PM and 6:00 AM.
- Zero-Tolerance Substances: Possession, consumption, or distribution of alcohol, illegal drugs, tobacco, smoking products, gambling, or unlawful activities is strictly prohibited and results in immediate eviction.
- No Harassment or Violence: Harassment, intimidation, verbal abuse, physical violence, or nuisance to fellow residents or hostel staff is strictly forbidden.
6. Room Rules & Maintenance
- Cleanliness & Hygiene: Rooms must be kept clean, orderly, and hygienic at all times by the occupants alongside scheduled daily housekeeping.
- Property Damage Compensation: Any damage to hostel property, furniture, electrical fixtures, appliances, or wall paint caused by negligence must be compensated in full by the resident.
- Room & Bed Allotment: Room allocation and sharing arrangements are managed exclusively by PG management. Unauthorized bed swapping or room switching is prohibited.
7. Visitors Policy
- Male Visitors Prohibition: Male visitors (including male family members and friends) are strictly restricted from residential floors, corridors, and rooms.
- Designated Visitors Area: Approved visitors may meet residents only in designated ground-floor reception/common areas during permitted visiting hours (10:00 AM to 7:00 PM).
8. Health, Hygiene & Sanitation
- Cleanliness Standards: Residents must maintain high standards of hygiene in personal room spaces, dining areas, and shared washrooms.
- Waste Disposal & Sanitation: Waste segregation and proper disposal guidelines must be followed. Trash must be placed in designated bins.
- Building Safety Standards: The PG building meets all health, sanitation, hygiene, and structural safety standards prescribed by competent municipal authorities.
9. Rent, Fees & Refund Policy
- Timely Rent Payment: Monthly rent and occupancy charges must be paid on or before the 5th day of every calendar month. Late payments attract a late fee.
- Notice Period for Vacating: A mandatory 30-day prior written notice is required before vacating the PG accommodation.
- Security Deposit Refund: Security deposit refund is subject to management room inspection, completion of the mandatory notice period, and deductions for damages or unpaid dues, if any.
10. Legal Compliance & PG Licensing
- Licences & Approvals: The hostel/PG operates in full compliance with required licences, municipal registration, and approvals from competent local authorities.
- Safety Certificates: Approved building stability, sanitation, health, and fire safety certificates are maintained by management.
11. Governing Law & Jurisdiction
These terms and house rules are governed by the laws of India. Any legal disputes arising out of or in connection with residency at Orchid Residency shall be subject to the exclusive jurisdiction of the courts in Coimbatore, Tamil Nadu.
